### I. Deposit Policy
1. **Reservation Deposit (Holding Deposit/Deposit)**
- **Payment Condition**: Required at the time of reservation to lock in the room.
- **Refund Conditions**:
- **Successfully Signed Contract**: Converts to a refundable "Security Deposit" and is regulated by a government-approved deposit protection scheme (TDS in England/Wales; SDS in Scotland).
- **Unsigned Contract**: If the apartment fails to provide accommodation, the deposit will be refunded in full.
- **Exception**: The deposit may be forfeited if the tenant fails to sign the contract on time, provides false information, or violates immigration laws.
2. **Cooling Off Period**
- **England/Wales**:
- **14-Day No-Fault Cancellation**: Can cancel within 14 natural days from the receipt of the accommodation confirmation email and receive a full refund of the deposit.
- **Near Check-In**: If the reservation is less than 14 days from the check-in date, the cancellation period is the earlier of the check-in date or 14 days.
- **Scotland**:
- **14-Day No-Fault Cancellation**: Can cancel within 14 natural days from the receipt of the "confirmation email" (after completing the reservation) and receive a full refund of the deposit.

- **Other Special Cases** (Scotland): Such as health issues, etc., require reasonable proof.
- **Finding a Replacement Tenant**
- **Conditions**:
- The replacement tenant must meet the age requirement (18+ in England/Wales; 16.5+ in Scotland) and be a full-time student at a nearby university.
- Must sign a new contract and pay a fee.
- **Fee**: £50 management fee in England/Wales. No fee is specified in Scotland.
- **Refund**: After a successful replacement, the deposit will be deducted as a cancellation fee, and the remaining rent will be refunded.
