Cancellation policy

The following is a summary and overview of the apartment cancellation policy. The policy is subject to real-time changes. Please refer to the official website and the contract for the latest information.


**I. Deposit Policy**

1. **Reservation Deposit (Holding Deposit/Deposit)**

   - **Payment Condition**: Required to be paid at the time of reservation to lock in the room.

   - **Refund Conditions**:

       - **Successful Signing of Contract**: It is converted into a refundable "Security Deposit", which is regulated by a government-approved deposit protection scheme (TDS in England/Wales; SDS in Scotland).

       - **Failure to Sign Contract**: If the apartment is unable to provide accommodation, the deposit will be refunded in full.

   - **Exception**: The deposit may be forfeited if the tenant fails to sign the contract on time, provides false information, or violates immigration laws.

2. **Cooling Off Period**

   - **England/Wales**:

       - **14-Day No-Fault Cancellation**: Cancellation within 14 natural days from the receipt of the accommodation confirmation email allows for a full refund of the deposit.

       - **Approaching Check-In**: If the reservation is less than 14 days from the check-in date, the cancellation period is the earlier of the check-in date or 14 days.

   - **Scotland**:

       - **14-Day No-Fault Cancellation**: Cancellation within 14 natural days from the receipt of the "confirmation email" (after completing the reservation) allows for a full refund of the deposit.

       - **Approaching Check-In**: If the reservation is less than 14 days from the actual check-in date, the cancellation period is the earlier of the actual check-in date or 14 days.

   - **Cancellation Method**: Must be sent via email to the designated apartment office email address.

3. **During/After the Agreement**

   - **Special Circumstances for Waiver of Liability (Proof Required)**:

       - **No Place No Pay due to Academic Failure (England/Wales only)**: For first-year undergraduate students who are rejected by the university due to failing to meet/ exceeding academic expectations, the rejection letter and a new acceptance letter must be submitted within 72 hours.

       - **No Visa No Pay**: The official visa rejection letter and the cancellation application must be submitted within 72 hours.

       - **Other Special Circumstances (Scotland)**: Such as health issues, etc., reasonable proof must be provided.

   - **Finding a Replacement Tenant**:

       - **Conditions**:

           - The replacement tenant must meet the age requirement (18+ in England/Wales; 16.5+ in Scotland) and be a full-time student at a nearby university.

           - A new contract must be signed and fees paid.

       - **Fees**: In England/Wales, a £50 management fee is required; fees are not clearly mentioned in Scotland.

       - **Refund**: After a successful replacement, the deposit is deducted as the cancellation fee, and the remaining rent is refunded.

   - **Failure to Find a Replacement Tenant**: The full rent must be paid until the end of the contract.
