Cancellation policy **Summary and Overview of Apartment Cancellation Policy**

**I. Deposit Policy**
1. **Reservation Deposit (Holding Deposit/Deposit)**
- **Payment Requirement**: Payable upon reservation to lock in the room.
- **Refund Conditions**:
- **Successful Signing of Contract**: Converts to a refundable "Security Deposit" regulated by government-approved deposit protection schemes (TDS in England/Wales; SDS in Scotland).
- **Failure to Sign Contract**: If the apartment fails to provide accommodation, the deposit will be refunded in full.
- **Exception**: The deposit may be forfeited if the tenant fails to sign the contract on time, provides false information, or violates immigration laws.
**II. Cooling Off Period**
**England/Wales**:
- **14-Day No-Fault Cancellation**: Cancel within 14 natural days from the receipt of the accommodation confirmation email for a full deposit refund.
- **Approaching Check-In**: If the reservation is less than 14 days from the check-in date, the cancellation period is the earlier of the check-in date or 14 days.
**Scotland**:
- **14-Day No-Fault Cancellation**: Cancel within 14 natural days from the receipt of the "confirmation email" (after completing the reservation) for a full deposit refund.
- **Approaching Check-In**: If the reservation is less than 14 days from the actual check-in date, the cancellation period is the earlier of the actual check-in date or 14 days.
**Cancellation Method**: Send an email to the designated apartment office email address.
**III. During/After the Agreement**
**Special Exemptions (Proof Required)**:
- **No Place No Pay due to Academic Failure (England/Wales only)**: For first-year undergraduate students rejected by the university due to academic performance below/above expectations, submit the rejection letter and new acceptance letter within 72 hours.
- **No Visa No Pay**: Submit the official visa rejection letter and cancellation application within 72 hours.
- **Other Special Circumstances (Scotland)**: Such as health issues, etc., require reasonable proof.
**Finding a Replacement Tenant**:
- **Requirements**:
- The replacement tenant must meet the age requirement (18+ in England/Wales; 16.5+ in Scotland) and be a full-time student at a nearby university.
- Sign a new contract and pay the fees.
- **Fees**: £50 management fee in England/Wales; fees not specified in Scotland.
- **Refund**: After successful replacement, the deposit is deducted as the cancellation fee, and the remaining rent is refunded.
**Failure to Find a Replacement Tenant**: Pay the full rent until the end of the contract.
**IV. Mid-Term Lease Cancellation after Check-In**
**Conditions**: Subject to apartment approval and the following requirements:
- No unauthorized subletting or subleasing.
- Find a replacement tenant meeting the above criteria.
- Refund will be processed after the replacement tenant moves in.
