Cancellation policy

The following is a summary and overview of the apartment cancellation policy. The policy is subject to real-time changes. Please refer to the official website and the contract for the latest information.


**I. Deposit Policy**

1. **Reservation Deposit (Holding Deposit/Deposit)**

   - **Payment Condition**: Required to be paid at the time of reservation to lock in the room.

   - **Refund Conditions**:

       - **Successful Signing of Contract**: Converts to a refundable "Security Deposit" and is regulated by a government-approved deposit protection scheme (TDS in England/Wales; SDS in Scotland).

       - **Failure to Sign Contract**: If the apartment is unable to provide accommodation, the deposit will be refunded in full.

   - **Exception**: The deposit may be forfeited if the tenant fails to sign the contract on time, provides false information, or violates immigration laws.

2. **Cooling Off Period**

   - **England/Wales**:

       - **14-Day No-Fault Cancellation**: Can cancel within 14 natural days from the receipt of the accommodation confirmation email and receive a full refund of the deposit.

       - **Approaching Check-In**: If the reservation is less than 14 days from the check-in date, the cancellation period is the earlier of the check-in date or 14 days.

   - **Scotland**:

       - **14-Day No-Fault Cancellation**: Can cancel within 14 natural days from the receipt of the "confirmation email" (after completing the reservation) and receive a full refund of the deposit.

       - **Approaching Check-In**: If the reservation is less than 14 days from the actual check-in date, the cancellation period is the earlier of the actual check-in date or 14 days.

   - **Cancellation Method**: Need to send an email to the designated apartment office email address.

3. **During/After the Agreement**

   - **Special Circumstances for Exemption from Liability (Proof Required)**:

       - **No Place No Pay for Academic Failure** (only applicable in England/Wales): For first-year undergraduate students who are rejected by the university due to failing to meet/ exceeding expectations in their studies, need to submit the rejection letter and a new acceptance letter within 72 hours.

       - **No Visa No Pay for Visa Rejection**: Need to submit an official visa rejection letter and a cancellation application within 72 hours.

       - **Other Special Circumstances** (in Scotland): Such as health problems, etc., need to provide reasonable proof.

   - **Finding a Replacement Tenant**:

       - **Conditions**:

           - The replacement tenant must meet the age requirement (18+ in England/Wales; 16.5+ in Scotland) and be a full-time student at a nearby university.

           - Need to sign a new contract and pay a fee.
