Cancellation policy **Summary and Overview of Apartment Cancellation Policy**

**I. Deposit Policy**
1. **Reservation Deposit (Holding Deposit/Deposit)**
- **Payment Condition**: Required at the time of reservation to lock in the room.
- **Refund Conditions**:
- **Successful Signing of Contract**: It is converted into a refundable "Security Deposit" and is regulated by a government-approved deposit protection scheme (in England/Wales: TDS; in Scotland: SDS).
- **Failure to Sign Contract**: If the apartment is unable to provide accommodation, the deposit will be refunded in full.
- **Exception**: The deposit may be forfeited if the tenant fails to sign the contract on time, provides false information, or violates immigration laws.
**II. Cooling Off Period**
- **England/Wales**:
- **14-Day No-Fault Cancellation**: Cancel within 14 natural days from the receipt of the accommodation confirmation email for a full refund of the deposit.
- **Near Check-In**: If the reservation is less than 14 days from the check-in date, the cancellation period is the earlier of the check-in date or 14 days.
- **Scotland**:
- **14-Day No-Fault Cancellation**: Cancel within 14 natural days from the receipt of the "confirmation email" (after completing the reservation) for a full refund of the deposit.
- **Near Check-In**: If the reservation is less than 14 days from the actual check-in date, the cancellation period is the earlier of the actual check-in date or 14 days.
**Cancellation Method**: Send an email to the designated apartment office email address.
**III. At/After the Start of the Agreement**
**Special Circumstances for Waiver of Liability (Proof Required)**:
- **No Place No Pay for Academic Failure (only in England/Wales)**: For first-year undergraduate students who are rejected by the university due to grades not meeting/ exceeding expectations, submit the rejection letter and a new acceptance letter within 72 hours.
- **No Visa No Pay**: Submit the official visa rejection letter and cancellation application within 72 hours.
- **Other Special Circumstances (in Scotland)**: Such as health problems, etc., require reasonable proof.
**Finding a Replacement Tenant**:
- **Conditions**:
- The replacement tenant must meet the age requirement (in England/Wales: 18+; in Scotland: 16.5+) and be a full-time student at a nearby university.
- Sign a new contract and pay the fees.
- **Fees**: In England/Wales, a £50 management fee is required; in Scotland, the fee is not clearly mentioned.
- **Refund**: After a successful replacement, the deposit is deducted as the cancellation fee, and the remaining rent is refunded.
**Failure to Find a Replacement Tenant**: The full rent is required to be paid until the end of the contract.
