Cancellation policy **Summary and Overview of the Apartment Cancellation Policy**

**I. Deposit Policy**
1. **Reservation Deposit (Holding Deposit/Deposit)**
- **Payment Requirement**: To be paid at the time of reservation for **locking in the room**.
- **Refund Conditions**:
- **Successful Signing of the Contract**: It will be converted into a refundable "Security Deposit", regulated by a government-approved deposit protection scheme (in England/Wales: TDS; in Scotland: SDS).
- **Failure to Sign the Contract**: If the apartment fails to provide accommodation, the deposit will be refunded in full.
- **Exception**: The deposit may be forfeited if the tenant fails to sign the contract on time, provides false information, or violates immigration laws.
2. **Cooling Off Period**
- **England/Wales**:
- **14-Day No-Fault Cancellation**: Cancellations made within 14 natural days from the receipt of the **accommodation confirmation email** are eligible for a full refund of the deposit.
- **Approaching Check-In**: If the reservation is less than 14 days from the check-in date, the cancellation period is the earlier of the check-in date or 14 days.
- **Scotland**:
- **14-Day No-Fault Cancellation**: Cancellations made within 14 natural days from the receipt of the **"confirmation email" (after completing the reservation)** are eligible for a full refund of the deposit.
- **Approaching Check-In**: If the reservation is less than 14 days from the actual check-in date, the cancellation period is the earlier of the actual check-in date or 14 days.
- **Cancellation Method**: It must be sent via email to the designated apartment office email address.
3. **During/After the Agreement**
- **Special Exemptions (Proof Required)**:
- **No Place No Pay due to Academic Failure** (only applicable in England/Wales): For first-year undergraduate students who are rejected by the university due to their academic performance not meeting/ exceeding expectations, they need to submit the rejection letter and a new acceptance letter within 72 hours.
- **No Visa No Pay**: Need to submit the official visa rejection letter and the cancellation application within 72 hours.
- **Other Special Situations** (in Scotland): Such as health problems, etc., require reasonable proof.
- **Finding a Replacement Tenant**:
- **Requirements**:
- The replacement tenant must meet the age requirement (in England/Wales: 18+; in Scotland: 16.5+) and be a full-time student at a nearby university.
- A new contract needs to be signed and fees paid.
- **Fees**: In England/Wales, a £50 management fee is required; in Scotland, the fee is not clearly mentioned.
- **Refund**: After a successful replacement, the deposit will be deducted as the cancellation fee, and the remaining rent will be refunded.
- **Failure to Find a Replacement Tenant**: The full rent needs to be paid until the end of the contract.
4. **Mid-Term Cancellation after Check-In**
