Acommodation rules
Cancellation policy The following is a summary and overview of the apartment cancellation policy. The policy is subject to change in real-time. Please refer to the official website and the contract for the latest information.
**Reservation Fee**
- England/Wales: Pay the Booking Fee to secure the room, which will be included in the first installment of the rent.
- Scotland: Pay the Advance Rental Payment, which serves the same function as the Booking Fee.
- If the contract is not signed on time, the fee will be forfeited.
**Deadline for Signing the Lease Agreement**
- The lease must be signed within 7 days after paying the Booking Fee (or other mutually agreed-upon period), otherwise the reservation will expire.
**Cancellation Policy**
1. **Before the lease agreement is signed and the Deadline has passed**: The reservation fee will not be refunded.
2. **After the lease agreement has been signed, but before the keys are collected or the lease term has started**: If any of the following conditions are met and relevant evidence can be provided:
- Notify the apartment within 7 days after paying the reservation fee and the keys have not been collected (not applicable after August 1st).
- Notify the apartment before August 1st (for leases starting outside of September, notify the apartment 28 days before the lease starts).
- Visa rejected (No Visa No Pay).
- Not accepted by the first-choice university (No Place No Pay).
- Deferred enrollment.
- Then the obligation under the lease agreement will be waived.
Materials required:
- **Cancellation within 7 days without reason**: Notify within 7 days after paying the reservation fee and the keys have not been collected. (Not applicable after August 1st).
- **Cancellation before August 1st (or 28 days before the lease starts in a non-September lease)**: Notification is required, but the reservation fee will not be refunded.
- **Visa rejected**: Submit the visa rejection letter within 72 hours, and a full refund will be made.
- **Not accepted by the first-choice university**: Submit the transcript and the university rejection letter within 72 hours, and a full refund will be made.
- **Deferred enrollment**: Submit the university deferral certificate. The reservation fee will not be refunded, but the rent can be refunded.
3. **After the keys have been collected or the lease term has started**
- The contract can only be terminated through "Tenancy Takeover":
- Can be applied for within 1 month after the lease starts and up to 2 months before the end.
- Need to find a qualified replacement tenant and pay a £50 management fee.
- The refund amount = remaining rent - reservation fee (if any) - room cleaning fee (if already occupied).
**Regional Differences**
- **Terminology differences**: In Scotland, "Advance Rental Payment" is used instead of "Booking Fee".
- **Refund rules**: For deferred enrollment, the certificate needs to be submitted at least 1 week before the lease starts, and the Advance Rental Payment will not be refunded.
- **Tenancy Takeover**: If the room is not vacated as agreed, the room repair fee may be deducted.
The final interpretation right belongs to the apartment.
