Cancellation policy

The following is a summary and overview of the apartment cancellation policy. The policy is subject to real-time changes. Please refer to the official website and the contract for the latest information.


**If the one-week deposit has not been paid, the reservation can be cancelled without liability.**


**If the deposit has been paid, please refer to the following:**


**1. The lease start date is more than 8 weeks after the reservation (e.g., reserved in June for September move-in)**

   - **Unconditional refund period**: Free cancellation is available within **14 days** after the reservation, with a full refund and no further liability.

   - **Cancellation conditions after 14 days**:

       - **Visa refusal**: If the UK visa is not obtained and proof can be provided, cancellation can be made before **August 20th**.

       - **Alternative tenant**: If the apartment finds a new tenant who meets the lease responsibilities (subject to apartment approval), cancellation is possible.

   - **Cancellation fees**:

       - In either case, one week's deposit is retained as a handling fee.

       - If more than one week's rent has been paid and the tenant has not moved in, the excess amount can be applied for a refund to the original payment account.


**2. The lease start date is within 8 weeks after the reservation (e.g., reserved in August for September move-in)**

   - **Unconditional refund period**: Free cancellation is available within **7 days** after the reservation, with a full refund and no further liability.

   - **Cancellation conditions after 7 days**:

       - **Only alternative tenant**: If the apartment finds a suitable new tenant (subject to apartment approval), cancellation is possible.

       - If the lease has started (regardless of whether the tenant has moved in), the tenant needs to go through the official "Apply to terminate the contract process".

   - **Cancellation fees**:

       - One week's rent is charged as a cancellation fee, and the unutilized rent beyond one week can be applied for a refund to the original payment account.


**3. Conditions for early lease termination after move-in**

   - **Lease termination conditions** (subject to apartment approval):

       - A new tenant and a guarantor who meet the remaining lease responsibilities (lease terms are the same as the original contract) need to be found.

       - The remaining lease term needs to be **≥ 7 weeks**.

       - The tenant needs to move out at least 1 week in advance (or as notified by the apartment).

   - **Fees**:

       - A termination contract handling fee (covering management costs) needs to be paid.

       - The unutilized rent beyond one week can be applied for a refund to the original payment account.


**Application cancellation process**

1. **Log in to the account**: Verify identity through the Urbanest portal.

2. **Initiate a conversation**: Use the orange chat tool to create a new conversation (do not reply to old messages).

3. **Obtain the form**: Request the "Next academic year cancellation form" and fill it out through the unique link.

4. **Submit materials**: Attach relevant proofs (such as visa refusal letter) and supplementary information.

5. **Wait for approval**: The apartment will notify the result and next steps via email.
