Cancellation policy Cancellation Policy Summary

I. Cooling-Off Period
Eligibility
- The tenancy has not started (contract start date has not arrived and keys have not been collected).
- Standard bookings: You may cancel within 14 days of the date on your Booking Confirmation e-mail.
- Bookings signed on or after 1 August (for a September start): cooling-off period is reduced to 3 days.
- Bookings signed on or after 12 August: cooling-off period is reduced to 24 hours.
Bridgeside Nottingham – additional terms
- You may cancel at any time before the 14-day cooling-off window begins.
- The cooling-off period only starts once a physical show-flat is open for viewing.
- If only virtual tours are offered, the cooling-off period does not apply.
- Your right to cancel remains open until 14 days after the physical show-flat opens; any deposit and rent paid will be refunded if you cancel within this extended window.
How to cancel
- E-mail the site management team; your deposit and any advance rent will be refunded in full and the tenancy cancelled.
II. Cancellation After the Cooling-Off Period
Ongoing liability
- You remain bound by the full contract; the deposit is held by MyDeposits until the end of the tenancy and cannot be used to offset the first rent instalment.
- You must pay the rent for the entire contract length.
Acceptable grounds for early release
- Visa denial, failure to meet academic conditions, course cancellation, deferred entry, university withdrawal, expulsion, or major force-majeure events.
- You must supply official evidence (university / UCAS / UKVI letter, etc.) within 7 days of the event.
- If the tenancy has already started, rent is due up to the date your written evidence is received and accepted.
III. Non-Acceptable Reasons – You Must Find a Replacement Tenant
Typical non-qualifying reasons
- Change of mind, booking elsewhere, taking a gap year, switching to online study, deciding to commute, etc.
Replacement tenant requirements
- Must be a full-time student with the legal right to reside in the UK.
- Must sign a new tenancy for the remainder of your contract and pay the rent according to the original payment schedule.
- The management can circulate your room on the waiting list, but sourcing the replacement remains your responsibility.
IV. Other Exceptional Circumstances
- Serious illness or major force-majeure: submit supporting documents; each case is reviewed individually. Rent continues to accrue while the review is in progress.
V. Cancellation Process
- Inside the cooling-off period: e-mail the site team directly.
- After the cooling-off period: your e-mail must include:
- Reason for cancellation
- Intended check-out date
- Forwarding address after you vacate
All decisions remain at the absolute discretion of the accommodation provider.
