The following is a summary and overview of the apartment cancellation policy. The policy is subject to change in real time. Please refer to the official website and the contract for the latest information.
**Reservation Fees**
- England/Wales: Pay a booking fee to secure a room, which is included in the first installment of rent.
- Scotland: Pay an advance rental payment, which serves the same function as the booking fee.
- If the contract is not signed on time, the fee will be forfeited.
**Deadline for Signing the Lease Agreement**
- The lease agreement must be signed within 7 days after paying the booking fee (or within other mutually agreed-upon period), otherwise the reservation will expire.
**Cancellation Policy**
1. **Before the lease agreement is signed and the deadline has passed**: The reservation fee is non-refundable.
2. **After the lease agreement is signed, but before the keys are collected or the lease term has started**: If any of the following conditions are met and relevant evidence can be provided:
- Notify the apartment within 7 days after paying the reservation fee and the keys have not been collected (not applicable after August 1st).
- Notify the apartment before August 1st (for leases starting outside September, notify the apartment 28 days before the lease starts).
- Visa is rejected (No Visa No Pay).
- Not accepted by the first-choice university (No Place No Pay).
- Deferred enrollment.
- Then the obligation of the lease agreement can be waived.
- Documents required:
- **Cancellation within 7 days without reason**: Notify within 7 days after paying the reservation fee and the keys have not been collected. (Not applicable after August 1st).
- **Cancellation before August 1st (or 28 days before a non-September lease)**: Notification is required, but the reservation fee is non-refundable.
- **Visa rejected**: Submit the rejection letter within 72 hours, and a full refund will be made.
- **Not accepted by the first-choice university**: Submit the transcript and the university rejection letter within 72 hours, and a full refund will be made.
- **Deferred enrollment**: Submit the university deferral certificate. The reservation fee is non-refundable, but the rent is refundable.
3. **After the keys are collected or the lease term has started**
- The contract can only be terminated through "tenancy takeover":
- Can apply within 1 month after the lease starts and up to 2 months before the end.
- Need to find a qualified replacement tenant and pay a £50 management fee.
- Refund amount = remaining rent - reservation fee (if any) - room cleaning fee (if already occupied).
**Regional Differences**
- **Terminology differences**: Scotland uses "advance rental payment" instead of "booking fee".
- **Refund rules**: For deferred enrollment, the certificate needs to be submitted at least 1 week before the lease starts, and the advance rental payment is non-refundable.
- **Tenancy takeover**: If the check-out is not in accordance with the agreement, room repair costs may be deducted.
