Cancellation policy

The following is a summary of the apartment cancellation policy. The policy is subject to real-time changes. Please refer to the official website and the contract for the latest information.

I. Cooling-Off Period Policy

Scope of Application

    • The reservation must be confirmed after the advance rent has been paid, and the following conditions must be met:
      • The tenancy agreement has not come into effect (i.e., the start date of the tenancy has not arrived or the agreement has not been signed);
      • The room key has not been collected.

Duration of the Cooling-Off Period

    • Regular Situation: 14 days from the date of receiving the reservation confirmation email;
    • For tenants who make a reservation for the next academic year (starting in September) on or after August 1st: 3 days from the date of signing the tenancy agreement;
    • For tenants who make a reservation for the next academic year on or after August 12th: 24 hours from the date of signing the tenancy agreement.

Cancellation within the Cooling-Off Period

    • You need to notify the apartment team in writing or by email. You will receive a full refund of the advance rent and the contract will be terminated;
    • After the key is collected: The cooling-off period will end immediately.

II. Policy after the Cooling-Off Period

Contract Binding Force

    • You are required to fulfill all the terms of the tenancy agreement;
    • The advance rent will be converted into a "deposit" to offset the first installment of the rent.

Special Circumstances Allowing Cancellation

    • One of the following conditions must be met:
      • You fail to obtain a visa;
      • You do not meet the academic requirements of the university course;
      • The course is cancelled;
      • Your enrollment is delayed or you are expelled from the university;
      • You voluntarily withdraw from the university.
    • Required Documentation: You need to provide official proof (such as documents from the university, UCAS, or the visa agency) within 7 days;
    • Refund Liability: If the contract has already come into effect, only the remaining rent after the date of submitting the evidence will be refunded.

Non-Cancellable Situations

    • Personal reasons (such as changing your accommodation preference, choosing another apartment, deciding to do an internship, the course going online, choosing to commute, etc.);
    • Requirements for Finding a Replacement Tenant:
      • You need to find a qualified replacement tenant on your own (a full-time student, legally residing in the UK, and meeting the apartment's preferences);
      • The apartment management will only assist in contacting potential candidates on the waiting list;
      • The new tenant needs to sign a contract for the remaining lease term and assume the same payment plan;
      • The original tenant will be released from the contract as of the date the new tenant moves in.

III. Handling of Special Situations

Illness or Other Major Reasons

    • You need to submit a written application and relevant supporting documents;
    • The apartment management will evaluate each case individually.

Processing Procedure

    • All cancellation requests will be reviewed on a case-by-case basis. You are still required to pay the fees during the review period;
    • You will remain liable for the rent until a replacement tenant is found.

IV. Key Time Nodes

  • Rule for Shortening the Cooling-Off Period: It is closely related to the start date of the academic year (September);
  • Time Limit for Document Submission: You need to submit the proof within 7 days if you cancel due to special reasons;
  • Liability of the Replacement Tenant: The new tenant needs to pay the advance rent (the amount will be calculated based on the move-in date) before moving in.

The final interpretation of this policy shall rest with the apartment.
