Cancellation policy

Ⅰ. General Provisions

  1. This intermediary platform only provides apartment information display and booking - docking services, and does not participate in the signing and performance of lease contracts. The rights and obligations related to the lease, the cancellation process, and the liability division shall all be determined by the tenant, the apartment and its affiliated brands (or the landlord) in accordance with the formal lease contract and the official cancellation policy. This platform shall not bear any legal liability for the lease performance and the cancellation results.

Ⅱ. Key Rules during the Booking Stage (Booking Not Completed)

  1. Application Rejected: If a room cannot be provided for you, the apartment will notify you within 2 working days after receiving the application, and you do not need to pay any fees.
  2. Offer Validity Period: Ordinary Booking Period: The room Offer is valid for 3 natural days after it is issued and will automatically expire if overdue; Peak - period (August - September, the score announcement and supplementary enrollment stage): The Offer is only valid for 1 natural day and will automatically expire if overdue.
  3. Booking Effectiveness Condition: The booking is officially completed and a legally binding contract relationship is established between the two parties only when you accept the Offer and pay the deposit.
  4. Offer Re - issuance Instruction: A expired Offer can be applied for re - issuance, but it is not guaranteed that the original room, original price, or original discount will still be available.

Ⅲ. Cancellation Categories and Core Rules (Divided by Cancellation Time Nodes)

(I) Cancellation within the Cooling - off Period (Initial Cancellation Period)

  1. Applicable Time: Within 7 natural days after the booking is completed (calculated from the booking date).
  2. Refund Rule: The deposit can be fully refunded.
  3. Disclaimer: The refund period may take several weeks (depending on the progress of the deposit being deposited into the rental deposit plan), and we cannot interfere with the refund speed.
  4. Application Method: A cancellation email needs to be sent to the apartment through the email used for booking. The email should state the name and the booked apartment information.

(II) Cancellation after the Cooling - off Period (Key Not Collected/Not Moved In)

  1. Core Liability: The tenant shall bear the rent for the entire lease term until a replacement tenant recognized by the landlord is found and re - renting is completed.
  2. Key Exemption Clause: The apartment has no obligation to sign a lease contract with the replacement tenant recommended by the tenant; the re - rental price is the current market price, and it is not guaranteed to be the same as the original rent; the apartment and the landlord have no mandatory obligation to find a replacement tenant, but will only try their best to assist.
  3. Refund Rule (After Successful Re - renting): The deposit can be refunded, but a £50 contract change fee will be deducted; if the refund is made to a non - UK bank, an additional £20 international bank handling fee will be deducted; the deposit cannot be transferred to other tenants or carried forward to the next year.
  4. Additional Explanation: The original tenant can only be released from the contract liability when the replacement tenant's cooling - off period ends, or when the replacement tenant has paid the rent and moved in; if the replacement tenant cancels within their 7 - day cooling - off period, the original tenant still needs to bear the rent until the next replacement tenant is found.

(III) Cancellation after the Cooling - off Period (Key Collected/Moved In)

  1. Core Liability: The same as the 'cancellation after the cooling - off period without moving in', the full - term rent needs to be borne until successful re - renting; additionally, the room needs to be kept clean and rentable (the same as when moving in), and cooperate with property viewings.
  2. Refund Rule: The same as the 'cancellation after the cooling - off period without moving in'; if the lease is terminated due to the expiration of the notice period in line with the current legal regulations, the £50 contract change fee will not be deducted.
  3. Special Instruction: Tenants who move out early can only apply for the refund of the deposit on the end date of the lease term.

(IV) Exclusive Cancellation Policy in Ireland

  1. Cancellation within 24 hours after signing the contract: No full - term liability is required, but the deposit will not be refunded;
  2. Cancellation after confirming the payment: All paid amounts will be forfeited in full.

Ⅳ. Special Exemption Policies ("No Place, No Pay" and "No Visa, No Pay")

(I) No Place, No Pay

1. Applicable Population: Only for first - year undergraduate and first - year postgraduate applicants

  1. Exemption Circumstances: The university withdraws the admission offer due to not meeting the admission scores; choosing to study at another university due to exceeding the expected scores (only applicable to first - year undergraduates).
  2. Application Materials: A rejection letter issued by the university/UCAS, a UCAS status screenshot (proving non - compliance), or an admission certificate from a new university (obtained through UCAS adjustment); a qualified cancellation email (the same requirements as the cooling - off period cancellation email).
  3. Time Node: The materials need to be submitted within 3 natural days after the score announcement and no later than August 28 (whichever is earlier).
  4. Exemption Result: After passing the review, the contract can be cancelled without penalty, and the deposit will be fully refunded (completed within 30 working days).
  5. Overdue Liability: If the materials are not submitted within 3 natural days, the full - term rent needs to be borne until successful re - renting.

2. Applicable Population: Students in the second year and above

  1. Exemption Circumstances: The university withdraws the study qualification for the next academic year due to not meeting the score requirements.
  2. Application Materials: A university - issued certificate of "non - compliance and withdrawal of qualification" + a qualified cancellation email.
  3. Overdue/Supplementary Liability: If the materials are not submitted on time: The deposit will not be refunded, and the full - term rent needs to be borne until successful re - renting; if the lease term has started when receiving the university notice, the rent from the start of the lease term until successful re - renting needs to be borne.
  4. Exemption Result: After passing the review, the contract can be cancelled, and the deposit will be fully refunded (completed within 30 working days); the deposit cannot be transferred.
  5. (II) No Visa, No Pay

Applicable Population: Only for international visa applicants.

  1. Situation 1: No visa obtained before the start of the lease term
  2. Application Materials: A visa rejection notice issued by the UK Visas & Immigration + a qualified cancellation email (stating the visa rejection and the intention to cancel, name, and apartment information).
  3. Time Node: The materials need to be submitted within 3 natural days after receiving the visa rejection notice and no later than September 20 (for academic year bookings).
  4. Exemption Result: If qualified materials are submitted on time, the contract can be cancelled without penalty, and the deposit will be fully refunded; if not submitted in time or if the lease term has started, the full - term rent needs to be borne until successful re - renting.
  5. Situation 2: Visa revoked after the start of the lease term
  6. Notification Requirement: The apartment team needs to be informed through the designated email within 48 hours after receiving the revocation notice.
  7. Application Materials: A visa revocation notice from the UK Visas & Immigration + a university - issued withdrawal certificate.
  8. Liability Division: The tenant needs to move out of the apartment immediately but still needs to bear the rent until a replacement tenant is found or until the end of the notice period in line with the legal regulations.
  9. Ⅴ. Other Important Clauses

(I) No Voluntary Cancellation after Moving In

Once moved in, regardless of whether the studies are terminated or not, the lease contract cannot be cancelled; the tenant needs to move out immediately but still needs to bear the rent for the remaining lease term until successful re - renting or until the end of the notice period stipulated by law. The deposit refund rule after successful re - renting is the same as that for "cancellation after the cooling - off period with moving in".

Additional Requirements: After successful re - renting or the end of the notice period, the keys need to be returned to the apartment office within 5 working days, and the contact information needs to be confirmed for subsequent notifications.

(II) Cancellation due to Medical and Special Circumstances

1. Medical Situations

Applicable Premise: The medical condition needs to have been declared when applying for the apartment, and this condition leads to the inability to continue studies.

  1. Application Materials: A cancellation email (stating the medical reason) + a doctor's certificate + a university withdrawal/deferral certificate.
  2. Liability Division: The tenant needs to bear at least 4 weeks' rent, or bear it until the end of the current rent cycle (whichever is longer); the rent cycle is defined as dividing the full - term contract amount into 3 installments on average, which has nothing to do with the originally selected payment method.
  3. Undisclosed Medical Condition: The tenant needs to bear the full - term rent until successful re - renting.
  4. 2. Sensitive/Special Exceptional Circumstances

Application Method: Submit a written application through the designated email, accompanied by relevant supporting materials (medical certificates, school certificates, etc.).

  1. Review Process: Reviewed by the special - circumstances committee, and a final decision will be given within 10 working days (which may be extended due to landlord approval); the review result will be notified to the tenant and the guarantor in writing.
