Acommodation rules
Cancellation policy The following is a summary and overview of the apartment cancellation policy. The policy is subject to real-time changes. Please refer to the official website and the contract for the latest information.
**I. Deposit Policy**
1. **Reservation Deposit (Holding Deposit/Deposit)**
- **Payment Conditions**: Required at the time of reservation to lock in the room.
- **Refund Conditions**:
- **Successful Signing**: Converts to a refundable "Security Deposit" regulated by a government-approved deposit protection scheme (TDS in England/Wales; SDS in Scotland).
- **Unsigned**: If the apartment is unable to provide accommodation, the deposit will be refunded in full.
- **Exception**: The deposit may be forfeited if the tenant fails to sign on time, provides false information, or violates immigration laws.
**II. Cooling Off Period**
- **England/Wales**:
- **14-Day No-Fault Cancellation**: Cancel within 14 natural days from the receipt of the accommodation confirmation email for a full refund of the deposit.
- **Near Check-In**: If the reservation is less than 14 days from the check-in date, the cancellation period is the earlier of the check-in date or 14 days.
- **Scotland**:
- **14-Day No-Fault Cancellation**: Cancel within 14 natural days from the receipt of the "confirmation email" (after completing the reservation) for a full refund of the deposit.
- **Near Check-In**: If the reservation is less than 14 days from the actual check-in date, the cancellation period is the earlier of the actual check-in date or 14 days.
**Cancellation Method**: Send an email to the designated apartment office email address.
**III. During/After the Agreement**
**Special Circumstances for Exemption (Proof Required)**:
- **No Place No Pay for Academic Failure** (England/Wales only): First-year undergraduate students rejected by the university due to failing to meet/ exceeding academic expectations need to submit the rejection letter and a new acceptance letter within 72 hours.
- **No Visa No Pay**: Submit the official visa rejection letter and cancellation application within 72 hours.
- **Other Special Circumstances** (Scotland): Such as health issues, etc., require reasonable proof.
**Finding a Replacement Tenant**:
- **Conditions**:
- The replacement tenant must meet the age requirement (18+ in England/Wales; 16.5+ in Scotland) and be a full-time student at a nearby university.
- Sign a new contract and pay the fee.
- **Fee**: £50 management fee in England/Wales; no fee is specified in Scotland.
– **Refund**: After successful replacement, the deposit is deducted as the cancellation fee, and the remaining rent is refunded.
**No Replacement Tenant Found**: Pay the full rent until the end of the contract.
**IV. Mid-Term Cancellation after Check-In**
- **Conditions**: Requires apartment approval and meets the following requirements:
1. Not sublet or sublease privately.
2. Find a replacement tenant who meets the above conditions.
3. Refunds will be processed after the replacement tenant moves in.
