Cancellation policy

The following is a summary and overview of the apartment cancellation policy. The policy is subject to real-time changes. Please refer to the official website and the contract for the latest information.


**I. Deposit Policy**

1. **Reservation Deposit (Holding Deposit/Deposit)**

   - **Payment Condition**: Required at the time of reservation to lock in the room.

   - **Refund Conditions**:

       - **Successful Signing of Contract**: Converted into a refundable "Security Deposit", regulated by a government-approved deposit protection scheme (TDS in England/Wales; SDS in Scotland).

       - **Failure to Sign Contract**: If the apartment is unable to provide accommodation, the deposit will be refunded in full.

   - **Exception**: The deposit may be forfeited if the tenant fails to sign the contract on time, provides false information, or violates immigration laws.


**II. Cooling Off Period**

- **England/Wales**:

   - **14-Day No-Fault Cancellation**: Cancellations made within 14 natural days from the receipt of the accommodation confirmation email are eligible for a full refund of the deposit.

   - **Approaching Check-In**: If the time between the reservation and the check-in date is less than 14 days, the cancellation period is determined by the earlier of the check-in date or 14 days.

- **Scotland**:

   - **14-Day No-Fault Cancellation**: Cancellations made within 14 natural days from the receipt of the "confirmation email" (after completing the reservation) are eligible for a full refund of the deposit.

   - **Approaching Check-In**: If the time between the reservation and the actual check-in date is less than 14 days, the cancellation period is determined by the earlier of the actual check-in date or 14 days.

**Cancellation Method**: Must be sent via email to the designated apartment office email address.


**III. During/After the Agreement**

- **Special Circumstances for Exemption from Liability (Proof Required)**:

   - **No Place No Pay due to Academic Failure (England/Wales only)**: First-year undergraduate students who are rejected by the university due to their academic performance not meeting/ exceeding expectations need to submit the rejection letter and a new acceptance letter within 72 hours.

   - **No Visa No Pay**: Need to submit an official visa rejection letter and a cancellation application within 72 hours.

   - **Other Special Circumstances (Scotland)**: Such as health issues, etc., require reasonable proof.

- **Finding a Replacement Tenant**:

   - **Conditions**:

       - The replacement tenant must meet the age requirement (18+ in England/Wales; 16.5+ in Scotland) and be a full-time student at a nearby university.

       - A new contract needs to be signed and fees paid.

   - **Fees**: A £50 management fee is required in England/Wales; fees are not clearly mentioned in Scotland.

   - **Refund**: After a successful replacement, the deposit will be deducted as a cancellation fee and the remaining rent will be refunded.

- **Failure to Find a Replacement Tenant**: The full rent needs to be paid until the end of the contract.


**IV. Mid-Term Lease Termination after Check-In**

   - Subletting or sharing the accommodation privately is not allowed.
