Cancellation policy

1. General Provisions

  1. This intermediary platform only provides apartment information display and booking - connection services, and does not participate in the signing and performance of the lease. The rights and obligations related to the lease, the cancellation process, and the liability division are all determined by the tenant and the apartment and its affiliated brands (or the landlord) in accordance with the formal lease and the official cancellation policy. This platform does not assume any legal liability for the performance of the lease and the cancellation results.

2. Key Rules in the Booking Stage (Uncompleted Booking)

  1. Application Rejected: If a room cannot be provided for you, the apartment will notify you within 2 working days after receiving the application, and you do not need to pay any fees.
  2. Offer Validity: Regular Booking Period: The room Offer is valid for 3 natural days after it is issued and will automatically expire if overdue; Peak - season (August - September, the result announcement and supplementary admission stage): The Offer is only valid for 1 natural day and will automatically expire if overdue.
  3. Booking Effectiveness Condition: The booking is officially completed and a legally binding contractual relationship is established between the two parties only when you accept the Offer and pay the deposit.
  4. Offer Re - issuance Instructions: An expired Offer can be applied for re - issuance, but it is not guaranteed that the original room, original price, or original discount will still be available.

3. Cancellation Categories and Core Rules (Divided According to Cancellation Time Nodes)

(1) Cancellation within the Cooling - off Period (Initial Cancellation Period)

  1. Applicable Time: Within 7 natural days after the booking is completed (counting from the booking date).
  2. Refund Rule: The deposit can be fully refunded.
  3. Exemption Description: The refund period may take several weeks (depending on the progress of the deposit being deposited into the rental deposit plan), and we cannot interfere with the refund speed.
  4. Application Method: A cancellation email needs to be sent to the apartment through the email used for booking. The email should indicate the name and the information of the booked apartment.

(2) Cancellation after the Cooling - off Period (Before Key Collection/Before Check - in)

  1. Core Liability: The tenant is responsible for the rent for the entire lease term until a substitute tenant recognized by the landlord is found and re - rented.
  2. Key Exemption Clauses: The apartment has no obligation to sign a lease with the substitute tenant recommended by the tenant; the re - rental price is the current market price, and it is not guaranteed to be the same as the original rent; the apartment and the landlord have no mandatory obligation to find a substitute tenant, but will only make every effort to assist.
  3. Refund Rule (After Successful Re - rental): The deposit can be refunded, but a £50 contract change fee will be deducted; if the refund is made to a non - UK bank, an additional £20 international bank handling fee will be deducted; the deposit cannot be transferred to other tenants or carried forward to the next year.
  4. Supplementary Explanation: The original tenant can only be released from the contractual liability when the substitute tenant's cooling - off period ends, or when the substitute tenant has paid the rent and checked in; if the substitute tenant cancels within their 7 - day cooling - off period, the original tenant is still responsible for the rent until the next substitute tenant is found.

(3) Cancellation after the Cooling - off Period (After Key Collection/After Check - in)

  1. Core Liability: The same as the "cancellation after the cooling - off period and before check - in", the tenant is responsible for the rent for the entire lease term until successful re - rental; additionally, the tenant needs to ensure that the room is in a clean and rentable state (the same as when checking in) and cooperate with property viewings.
  2. Refund Rule: The same as the "cancellation after the cooling - off period and before check - in"; if the lease is terminated due to the expiration of the notice period in accordance with the current laws and regulations, the £50 contract change fee will not be deducted.
  3. Special Note: Tenants who move out early can only apply for the refund of the deposit until the end of the lease term.

(4) Exclusive Cancellation Policy for Ireland Region

  1. Cancellation within 24 hours after signing: No liability for the entire lease term is assumed, but the deposit will not be refunded;
  2. Cancellation after confirming payment: All paid amounts will be forfeited in full.

4. Special Exemption Policies ("No Place, No Pay" and "No Visa, No Pay")

(1) No Place, No Pay

1. Applicable Population: Only for first - year undergraduate and first - year postgraduate applicants

  1. Exemption Situations: The university withdraws the admission offer due to the applicant not meeting the admission scores; the applicant chooses to study at another university due to achieving higher than expected scores (only applicable to first - year undergraduates).
  2. Application Materials: A rejection letter issued by the university/UCAS, a UCAS status screenshot (proving non - compliance), or an admission certificate from a new university (obtained through UCAS adjustment); a compliant cancellation email (the same requirements as the cooling - off period cancellation email).
  3. Time Node: The materials need to be submitted within 3 natural days after the scores are announced, and no later than August 28 (whichever is earlier).
  4. Exemption Result: After passing the review, the contract can be terminated without penalty, and the deposit will be fully refunded (completed within 30 working days).
  5. Overdue Liability: If the materials are not submitted within 3 natural days, the tenant is responsible for the rent for the entire lease term until successful re - rental.

2. Applicable Population: Second - year and above students

  1. Exemption Situations: The university withdraws the study qualification for the next academic year due to the student not meeting the score requirements.
  2. Application Materials: A proof document issued by the university stating "non - compliance and withdrawal of qualification" + a compliant cancellation email.
  3. Time Node: The materials need to be submitted within 3 natural days after receiving the university's notice.
  4. Overdue/Supplementary Liability: If the materials are not submitted on time: the deposit will not be refunded, and the tenant is responsible for the rent for the entire lease term until successful re - rental; if the lease term has started when receiving the university's notice, the tenant is responsible for the rent from the start of the lease term until successful re - rental.
  5. Exemption Result: After passing the review, the contract can be terminated, and the deposit will be fully refunded (completed within 30 working days); the deposit cannot be transferred.

(2) No Visa, No Pay

  1. Applicable Population: Only for international visa applicants.
  2. Situation 1: No Visa Obtained Before the Lease Starts
  3. Application Materials: A visa rejection notice issued by the UK Visas & Immigration + a compliant cancellation email (indicating the visa rejection and the intention to cancel, name, and apartment information).
  4. Time Node: The materials need to be submitted within 3 natural days after receiving the visa rejection notice, and no later than September 20 (for academic year bookings).
  5. Exemption Result: If qualified materials are submitted on time, the contract can be terminated without penalty, and the deposit will be fully refunded; if not submitted on time or if the lease has started, the tenant is responsible for the rent for the entire lease term until successful re - rental.
  6. Situation 2: Visa Revoked After the Lease Starts
  7. Notification Requirement: The apartment team needs to be informed through the designated email within 48 hours after receiving the revocation notice.
  8. Application Materials: A visa revocation notice from the UK Visas & Immigration + a withdrawal certificate from the university.
  9. Liability Division: The tenant needs to move out of the apartment immediately, but is still responsible for the rent until a substitute tenant is found or until the expiration of the notice period in accordance with the laws and regulations.

5. Other Important Clauses

(1) No Voluntary Cancellation After Check - in

Once checked in, regardless of whether the studies are terminated or not, the lease cannot be terminated; the tenant needs to move out immediately, but is still responsible for the remaining lease term rent until successful re - rental or until the expiration of the notice period in accordance with the laws and regulations. The deposit refund rule after successful re - rental is the same as that for "cancellation after the cooling - off period and after check - in".

Supplementary Requirements: After successful re - rental or the expiration of the notice period, the keys need to be returned to the apartment office within 5 working days, and the contact information needs to be confirmed for subsequent notifications.

(2) Cancellation Due to Medical and Special Circumstances

1. Medical Situations

  1. Applicable Premise: The medical condition needs to have been declared when applying for the apartment, and this condition has led to the inability to continue the studies.
  2. Application Materials: A cancellation email (indicating the medical reason) + a doctor's certificate + a university withdrawal/deferral certificate.
  3. Liability Division: The tenant is responsible for at least 4 weeks' rent, or until the end of the current rent cycle (whichever is longer); the rent cycle is defined as dividing the total lease - term contract amount into 3 installments on average, which is independent of the initially selected payment method.
  4. Undisclosed Medical Condition: The tenant is responsible for the rent for the entire lease term until successful re - rental.

2. Sensitive/Special Exceptional Circumstances

  1. Application Method: Submit a written application through the designated email, together with relevant supporting materials (medical certificates, school certificates, etc.).
  2. Review Process: Reviewed by the special circumstances committee, and a final decision will be given within 10 working days (which may be extended due to the landlord's approval); the review result will be notified in writing to the tenant and the guarantor.
