Cancellation policy

Ⅰ. General Provisions

  1. This intermediary platform only provides apartment information display and reservation - docking services, and does not participate in the signing and performance of the lease. The rights and obligations related to the lease, the cancellation process and the allocation of responsibilities are all determined by the tenant and the apartment and its affiliated brands (or the landlord) in accordance with the formal lease and the official cancellation policy. This platform shall not bear any legal liability for the performance of the lease and the cancellation results.

Ⅱ. Key Rules in the Reservation Stage (Reservation Not Completed)

  1. Application Rejected: If a room cannot be provided for you, the apartment will notify you within 2 working days after receiving the application, and you do not need to pay any fees.
  2. Offer Validity Period: During the ordinary reservation period, the room Offer is valid for 3 natural days after it is issued and will automatically expire if overdue; during the peak - period (the result announcement and supplementary enrollment stage from August to September), the Offer is only valid for 1 natural day and will automatically expire if overdue.
  3. Reservation Effectiveness Conditions: The reservation is officially completed and a legally binding contract relationship is established between the two parties only when you accept the Offer and pay the security deposit.
  4. Offer Re - issuance Instructions: An expired Offer can be applied for re - issuance, but there is no guarantee that the original room, original price or original discount will still be available.

Ⅲ. Cancellation Categories and Core Rules (Divided According to the Cancellation Time Node)

(Ⅰ) Cancellation within the Cooling - off Period (Initial Cancellation Period)

  1. Applicable Time: Within 7 natural days after the reservation is completed (counting from the reservation date).
  2. Refund Rule: The security deposit can be fully refunded.
  3. Disclaimer: The refund period may take several weeks (depending on the progress of the security deposit being deposited into the rental security deposit plan), and we cannot interfere with the refund speed.
  4. Application Method: A cancellation email needs to be sent to the apartment through the email used for the reservation. The email should indicate the name and the reservation apartment information.

(Ⅱ) Cancellation after the Cooling - off Period (Before Key Collection/Check - in)

  1. Core Liability: The tenant shall be responsible for the rent for the entire lease term until a substitute tenant recognized by the landlord is found and re - rented.
  2. Key Exemption Clauses: The apartment has no obligation to sign a lease with the substitute tenant recommended by the tenant; the re - rental price is the current market price, and there is no guarantee that it will be the same as the original rent; the apartment and the landlord have no mandatory obligation to find a substitute tenant and will only make every effort to assist.
  3. Refund Rule (after successful re - rental): The security deposit can be refunded, but a £50 contract change fee will be deducted; if the refund is made to a non - UK bank, an additional £20 international bank handling fee will be deducted; the security deposit cannot be transferred to other tenants or carried forward to the next year.
  4. Supplementary Instructions: The original tenant can be released from the contract liability only when the substitute tenant's cooling - off period ends, or when the substitute tenant has paid the rent and checked in; if the substitute tenant cancels within their 7 - day cooling - off period, the original tenant still needs to bear the rent until the next substitute tenant is found.

(Ⅲ) Cancellation after the Cooling - off Period (After Key Collection/Check - in)

  1. Core Liability: The same as "Cancellation after the Cooling - off Period before Check - in", the tenant needs to bear the rent for the entire lease term until successful re - rental; additionally, the tenant needs to ensure that the room is in a clean and rentable state (the same as when checking in) and cooperate with property viewings.
  2. Refund Rule: The same as "Cancellation after the Cooling - off Period before Check - in"; if the lease is terminated due to the expiration of the notice period in line with the current legal regulations, the £50 contract change fee will not be deducted.
  3. Special Instructions: Tenants who move out early can only apply for the refund of the security deposit until the end of the lease term.

(Ⅳ) Exclusive Cancellation Policy for the Irish Region

  1. Cancellation within 24 hours after signing the contract: There is no need to bear the responsibility for the entire lease term, but the security deposit will not be refunded;
  2. Cancellation after confirming the payment: All paid amounts will be forfeited in full.

Ⅳ. Special Exemption Policies ("No Place, No Pay" and "No Visa, No Pay")

(Ⅰ) No Place, No Pay

1. Applicable Population: Only for first - year undergraduate and first - year postgraduate applicants.

  1. Exemption Situations: The university withdraws the admission notice due to not meeting the admission grades; choosing to study at another university due to achieving higher - than - expected grades (only applicable to first - year undergraduates).
  2. Application Materials: A rejection letter issued by the university/UCAS, a UCAS status screenshot (to prove non - compliance), or an admission certificate from a new university (obtained through UCAS adjustment); a compliant cancellation email (the same requirements as the cancellation email within the cooling - off period).
  3. Time Node: The materials need to be submitted within 3 working days after the grades are announced, and no later than August 28 (whichever is earlier).
  4. Exemption Outcome: After passing the review, the contract can be terminated without penalty, and the security deposit will be fully refunded (completed within 30 working days).
  5. Overdue Liability: If the materials are not submitted within 3 working days, the tenant needs to bear the rent for the entire lease term until successful re - rental.

2. Applicable Population: Students in the second year and above.

  1. Exemption Situations: The university withdraws the study qualification for the next academic year due to not meeting the grade requirements.
  2. Application Materials: A proof document issued by the university stating "non - compliance and withdrawal of qualification" + a compliant cancellation email.
  3. Overdue/Supplementary Liability: If the materials are not submitted on time: the security deposit will not be refunded, and the tenant needs to bear the rent for the entire lease term until successful re - rental; if the lease term has started when receiving the university notice, the tenant needs to bear the rent from the start of the lease term until successful re - rental.
  4. Exemption Outcome: After passing the review, the contract can be terminated, and the security deposit will be fully refunded (completed within 30 working days); the security deposit cannot be transferred.
  5. (Ⅱ) No Visa, No Pay

Applicable Population: Only for international visa applicants.

  1. Situation 1: No visa obtained before the lease term starts
  2. Application Materials: A visa rejection notice issued by the UK Visas & Immigration + a compliant cancellation email (indicating the visa rejection and the intention to cancel, the name, and the apartment information).
  3. Time Node: The materials need to be submitted within 3 working days after receiving the visa rejection notice, and no later than September 20 (for academic year reservations).
  4. Exemption Outcome: If qualified materials are submitted on time, the contract can be terminated without penalty, and the security deposit will be fully refunded; if not submitted in time or if the lease term has started, the tenant needs to bear the rent for the entire lease term until successful re - rental.
  5. Situation 2: Visa revoked after the lease term starts
  6. Notification Requirements: The apartment team needs to be informed through the designated email within 48 hours after receiving the revocation notice.
  7. Application Materials: A visa revocation notice from the UK Visas & Immigration + a withdrawal certificate from the university.
  8. Liability Allocation: The tenant needs to move out of the apartment immediately but still needs to bear the rent until a substitute tenant is found or until the end of the notice period in line with legal regulations.
  9. Ⅴ. Other Important Clauses

(Ⅰ) No Voluntary Cancellation after Check - in

Once checked in, regardless of whether the studies are terminated or not, the lease cannot be terminated; the tenant needs to move out immediately but still needs to bear the rent for the remaining lease term until successful re - rental or until the end of the notice period stipulated by law. The security deposit refund rules after successful re - rental are the same as those for "Cancellation after the Cooling - off Period after Check - in".

Supplementary Requirements: After successful re - rental or at the end of the notice period, the keys need to be returned to the apartment office within 5 working days, and the contact information needs to be confirmed for subsequent notifications.

(Ⅱ) Cancellation due to Medical and Special Situations

1. Medical Situations

Applicable Prerequisites: The medical condition needs to have been declared when applying for the apartment, and this condition causes the inability to continue the studies.

  1. Application Materials: A cancellation email (indicating the medical reason) + a doctor's certificate + a university withdrawal/postponement certificate.
  2. Liability Allocation: The tenant needs to bear at least 4 weeks' rent, or bear it until the end of the current rent cycle (whichever is longer); the rent cycle is defined as dividing the total lease - term contract amount into 3 installments on average, which has nothing to do with the initially selected payment method.
  3. Medical Condition Not Declared: The tenant needs to bear the rent for the entire lease term until successful re - rental.
  4. 2. Sensitive/Special Exceptional Situations

Application Method: Submit a written application through the designated email, together with relevant supporting materials (medical certificates, school certificates, etc.).

  1. Review Process: Reviewed by the special - situation committee, and a final decision will be given within 10 working days (which may be extended due to the landlord's approval); the review result will be notified to the tenant and the guarantor in writing.
