1. Cancellation Policy (England/Scotland/Northern Ireland vs. Wales)

A. Cooling-off Period

  • General Rules:
    • Tenants may cancel in writing within 3 days of accepting the tenancy agreement to receive a full refund of the deposit and any payments made;
    • For agreements accepted after August 1, 2025: Cooling-off period reduced to 24 hours;
    • If the tenant has checked in and received keys: The cooling-off period terminates immediately.

B. Post Cooling-off Period Cancellation

1. Special Circumstances (Requires official documentation):

  • Failure to meet academic entry requirements ("No Place No Pay");
  • Visa denial ("No Visa No Pay");
  • Cancellation of pre-sessional language courses;
  • University deferral to the 2026/27 academic year;
  • Expulsion or voluntary withdrawal from university (subject to apartment approval).
    Process:
  • Upon approval, the contract terminates from the approval date. Tenants must pay rent for the period from the agreement start date to the approval date, with the deposit refunded;
  • If already checked in, the deposit will be deducted for unpaid rent and any room damages.

2. Other Cancellation Reasons (Requires finding a replacement tenant):

  • Includes change of mind, alternative accommodation, exchange programs, online courses, etc.
    Replacement Tenant Rules:
  • Deadline: Must be arranged by May 31, 2026;
  • Requirements: Replacement must meet accommodation criteria (e.g., gender restrictions) and not be an existing tenant;
  • Fee: £50 transfer fee applies;
  • Release of Liability: Original tenant's obligations end once the replacement signs the contract, pays the deposit, and completes their cooling-off period.

2. Key Considerations

  1. Academic Calendar Irrelevance: End of term or exams do not qualify as cancellation reasons—full lease term must be honored;
  2. Deposit Refund: Full refund if no check-in occurs; post check-in, deductions apply for unpaid rent and maintenance costs;
  3. Regional Differences: Wales uses "occupation contracts," while other regions use "tenancy agreements," though core terms are similar;
  4. Legal Process: Apartments in England/Wales may reclaim units via court order (if statutory conditions are met).
