Cancellation policy

I. General Provisions

  1. This intermediary platform only provides apartment information display and reservation docking services, and does not participate in the signing and performance of leases. The rights and obligations related to the lease, the cancellation process and the division of responsibilities shall be determined by the tenant and the apartment and its affiliated brands (or the landlord) in accordance with the formal lease and the official cancellation policy. This platform shall not bear any legal liability for the performance of the lease and the cancellation results.

II. Key Rules in the Reservation Stage (Uncompleted Reservation)

  1. Application Not Approved: If a room cannot be provided for you, the apartment will notify you within 2 working days after receiving the application, and you do not need to pay any fees.
  2. Offer Validity Period: General reservation period: The room Offer is valid within 3 natural days after it is issued and will automatically expire if it exceeds the time limit; Peak period (August - September when the grades are announced and during the supplementary enrollment stage): The Offer is only valid for 1 natural day and will automatically expire if it exceeds the time limit.
  3. Reservation生效 Condition: Only when you accept the Offer and pay the deposit, the reservation is officially completed and a contract relationship with legal binding force is established between the two parties.
  4. Offer Re-issuance Instruction: A expired Offer can be applied for re-issuance, but it is not guaranteed that the original room, original price or original discount will still be available.

III. Cancellation Classification and Core Rules (Divided According to the Cancellation Time Node)

(I) Cancellation within the Cooling-off Period (Initial Cancellation Period)

  1. Applicable Time: Within 7 natural days after the reservation is completed (counting from the reservation date).
  2. Refund Rule: The deposit can be fully refunded.
  3. Exemption Note: The refund cycle may take several weeks (depending on the progress of the deposit being deposited into the rental deposit plan), and we have no control over the refund speed.
  4. Application Method: You need to send a cancellation email to the apartment through the email used for the reservation. The email must indicate your name and the reservation apartment information.

(II) Cancellation after the Cooling-off Period (Before Taking the Key/Before Moving In)

  1. Core Liability: The tenant needs to bear the rent for the entire lease term until a substitute tenant recognized by the landlord is found and the re-rental is completed.
  2. Key Exemption Clause: The apartment party has no obligation to sign a lease with the substitute tenant recommended by the tenant; The re-rental price is the current market price, and it is not guaranteed to be the same as the original rent; The apartment party and the landlord have no mandatory obligation to find a substitute tenant and will only try their best to assist.
  3. Refund Rule (After Successful Re-rental): The deposit can be refunded, but a £50 contract change fee will be deducted; If the refund is to a non-UK bank, an additional £20 international bank handling fee will be deducted; The deposit cannot be transferred to other tenants or carried forward to the next academic year.
  4. Supplementary Note: Only when the substitute tenant's cooling-off period ends, or the substitute tenant has paid the rent and moved in, can the original tenant be released from the contract liability; If the substitute tenant cancels within their 7-day cooling-off period, the original tenant still needs to bear the rent until the next substitute tenant is found.

(III) Cancellation after the Cooling-off Period (After Taking the Key/After Moving In)

  1. Core Liability: The same as 'Cancellation after the Cooling-off Period (Before Moving In)', need to bear the rent for the entire lease term until successful re-rental; Additionally, need to ensure that the room is in a clean and rentable state (the same as when moving in) and cooperate with the viewing.
  2. Refund Rule: The same as 'Cancellation after the Cooling-off Period (Before Moving In)'; If the lease is terminated due to the expiration of the notice period in line with the current legal regulations, the £50 contract change fee will not be deducted.
  3. Special Note: For tenants who move out early, they can only apply for the refund of the deposit until the end of the lease term.

(IV) Exclusive Cancellation Policy for Ireland Region

  1. Cancellation within 24 hours after signing: There is no need to bear the full lease term liability, but the deposit will not be refunded;
  2. Cancellation after confirming payment: All paid amounts will be forfeited in full.

IV. Special Exemption Policies ('No Admission, No Payment', 'No Visa, No Payment')

(I) No Admission, No Payment (No Place, No Pay)

1. Applicable Groups: Only for first-year undergraduate and first-year postgraduate applicants

  1. Exemption Circumstances: The university withdraws the admission notice due to not meeting the admission grades; Choosing to study at another university due to exceeding the expected grades (only applicable to first-year undergraduates).
  2. Application Materials: A rejection letter issued by the university/UCAS, a screenshot of the UCAS status (proving non-compliance), or an admission certificate from the new university (obtained through UCAS adjustment); A compliant cancellation email (the same as the requirements for the cooling-off period cancellation email).
  3. Time Node: The materials need to be submitted within 3 natural days after the grades are announced, and no later than August 28th (whichever is earlier).
  4. Exemption Result: After passing the review, the contract can be terminated without penalty, and the deposit will be fully refunded (the refund will be completed within 30 working days).
  5. Overdue Liability: If the materials are not submitted within 3 natural days, the tenant needs to bear the rent for the entire lease term until successful re-rental.

2. Applicable Groups: Students in the second year and above

  1. Exemption Circumstances: The university withdraws the study资格 for the next academic year due to not meeting the grade requirements.
  2. Application Materials: A certificate document issued by the university stating 'not meeting the requirements and withdrawing the资格' + A compliant cancellation email.
  3. Time Node: The materials need to be submitted within 3 natural days after receiving the university notice.
  4. Overdue/Supplementary Liability: If the materials are not submitted on time: The deposit will not be refunded, and the tenant needs to bear the rent for the entire lease term until successful re-rental; If the lease term has started when receiving the university notice, the tenant needs to bear the rent from the start of the lease term until successful re-rental.
  5. Exemption Result: After passing the review, the contract can be terminated, and the deposit will be fully refunded (completed within 30 working days); The deposit cannot be transferred.

(II) No Visa, No Payment (No Visa, No Pay)

  1. Applicable Groups: Only for international visa applicants.
  2. Situation 1: Not obtaining a visa before the start of the lease term
  3. Application Materials: A visa rejection notice issued by the UK Home Office (UK Visas & Immigration) + A compliant cancellation email (indicating the rejection and cancellation intention, name, and apartment information).
  4. Time Node: The materials need to be submitted within 3 natural days after receiving the rejection notice, and no later than September 20th (for academic year reservations).
  5. Exemption Result: Submitting qualified materials on time can terminate the contract without penalty, and the deposit will be fully refunded; If not submitted on time or the lease term has started, the tenant needs to bear the rent for the entire lease term until successful re-rental.
  6. Situation 2: The visa is revoked after the start of the lease term
  7. Notification Requirements: Need to notify the apartment team through the designated email within 48 hours after receiving the revocation notice.
  8. Application Materials: A visa revocation notice from the UK Home Office + A退学 certificate from the university.
  9. Responsibility Division: Need to move out of the apartment immediately, but still need to bear the rent until a substitute tenant is found, or until the notice period in line with the legal regulations ends.

V. Other Important Clauses

(I) No Active Cancellation after Moving In

Once moved in, regardless of whether the studies are terminated or not, the lease cannot be terminated; Need to move out immediately, but still need to bear the remaining lease term rent until successful re-rental, or until the notice period in line with the legal regulations ends. The deposit refund rule after successful re-rental is the same as 'Cancellation after the Cooling-off Period (After Moving In)'.

Supplementary Requirements: After successful re-rental or the end of the notice period, the key needs to be returned to the apartment office within 5 working days, and the contact information needs to be confirmed for subsequent notifications.

(II) Cancellation for Medical and Special Circumstances

1. Medical Conditions

  1. Applicable Premise: The medical condition needs to have been declared when applying for the apartment, and this condition has led to the inability to continue studying.
  2. Application Materials: A cancellation email (indicating the medical reason) + A doctor's certificate + A university退学/extension certificate.
  3. Responsibility Division: Need to bear at least 4 weeks' rent, or bear until the end of the current rent cycle (whichever is longer); The rent cycle is defined as the total contract amount for the entire lease term divided equally into 3 installments, regardless of the initial payment method chosen.
  4. Undisclosed Medical Conditions: Need to bear the rent for the entire lease term until successful re-rental.

2. Sensitive/Special Exceptional Circumstances

  1. Application Method: Submit a written application through the designated email, attaching relevant supporting materials (medical certificates, school certificates, etc.).
  2. Review Process: Reviewed by the special circumstances committee, and a final decision will be given within 10 working days (may be extended due to landlord approval); The review result will be notified to the tenant and the guarantor in writing.
